Individual Safety Warning and Actions Policy

 

Purpose of document:  To create a process by which club members in good standing are judged and acted upon based on their behavior regarding the standard of safety as outlined in the AMA official safety guidelines and SMRCF ‘Rules and Regulations’.

Procedure:  SMRCF will enact a “3 strike” process in order to provide sufficient opportunity for members of the club who are determined to be in violation of club safety related bylaws and AMA safety policies to correct their behavior prior to escalation of action potentially culminating in termination of club membership status as outlined in the club bylaws.

Section I – Notification process

The process will be enacted as follows:

  1. All club members will be required to abide by this process.
  2. Safety violations or concerns from any club member for any club member or non member will be reported to the Safety Coordinator, a Safety Marshall (there will be 2), or a Club Officer.  Both Safety Marshalls and Club Officers will report all issues raised to them by club members to the Safety Coordinator.  Under no circumstances will club members or Safety Marshalls take it upon themselves to invoke the actions of this policy to be outlined in section II.  It will be the Safety Coordinator’s role to do this.

Section II - Actions

  1. All safety violations when reported to the Safety Coordinator will be investigated by the Safety Coordinator.  Once the Safety Coordinator’s investigation is completed, he or she will conclude on the basis of the violation whether or not it is serious enough to be considered “official”.  If the Safety Coordinator deems the incident an official violation of safety regulations, the board of Officers will be notified of the violation and member in violation will be issued an initial safety warning.  This will be considered “Strike 1”.  If the Safety Coordinator does not consider the issue serious enough for a strike, the offender will be issued a verbal warning only.
  2. After strike 1, if a member commits a new safety violation (or repeats a previous violation) and the incident is again escalated to the Safety Coordinator, it will be investigated.  If the Safety Coordinator deems the incident an official violation of safety regulations, the board of Officers will be notified of the violation and member in violation will be issued an official secondary safety infraction.  This will be considered “Strike 2”.
  3. After strike 2, if a member commits a new safety violation (or repeats a previous violation) and the incident is again escalated to the Safety Coordinator, it will be investigated.  If the Safety Coordinator deems the incident an official violation of safety regulations, the board of Officers will be notified of the violation and will be called upon to vote on the issue of whether or not the member should be either given a 6 week probation (thus retaining strike 2), or will be stripped of club membership.  If the board by majority vote determines that the member in violation should have their membership revoked, this will be considered strike 3, and the member will be acted upon based on what is listed in the club bylaws regarding membership termination.

Section III – Recordkeeping

  1. All members’ safety records will be kept on file with the Safety Coordinator, Club President, Club Vice-President, and Treasurer.  These records will be kept strictly confidential.  Any sharing of this information outside of the view of the above mentioned club officers will be considered an act of error by the offending board member(s).

Section IV – Returning to good standing

  1. Club members who do not receive an official safety violation for a period of 6 months from their last violation will receive a reduction of one strike after the period of time (6 months) elapsing from the last violation, eventually resulting (if there are no subsequent violations) in a clear record (no strikes).  All violations will be kept in the official record, but strikes (which could lead to loss of membership) can be reduced through “good behavior”. 

Example :

Member X commits a violation and gets strike 1 on January 2.

Member X commits another violation and gets strike 2 on February 2.

Member X does not commit another violation for 6 months.

Member X is reduced to strike 1.

Member X commits another violation on September 2.

Member X gets strike 2 again.

Member X does not commit another violation for 6 months.

Member X is reduced to strike 1.

Member X does not commit another violation for 6 months.

Member X is reduced to strike 0.

Member X has no strikes on his or her record.

Section V – Removal of membership policy

  1. See SMRCF club bylaws.  All membership removal methods will be invoked as outlined in the official SMRCF club bylaws.
